Privacy Policy
Haven Cleaning Company ("Haven," "we," "us") provides residential cleaning services in Scottsdale, Phoenix and the surrounding East Valley. This policy explains what personal information we collect through cleanwithhaven.com and in the course of providing service, how we use it, who we share it with, and the choices you have. It applies to our website and to the people who contact us, request estimates, and book cleanings.
Information you give us
Most of what we hold, you hand us directly. When you submit the estimate form, ask a question, call, text, or email us, we may collect:
- Contact details. Your name, email address, phone number, and the zip code or address of the home to be cleaned.
- Details about your home. Square footage, number of bedrooms and bathrooms, the condition of the home, the service you want, add-on requests, and any notes you send us, such as parking instructions, rooms to skip, or pets on site.
- Access information. If you arrange for us to enter while you are out, we may hold a gate code, door code, lockbox code, alarm instructions, or a key.
- Scheduling and service history. Dates of past and upcoming visits, the crew assigned, notes about your preferences, and any issues raised.
- Payment information. We use a third-party payment processor. Card numbers are entered with that processor and are not stored on our systems. We keep records of amounts, dates, and whether an invoice was paid.
- Employment applications. If you apply to work with us, we collect what you submit, which may include work history, references, and information needed to run a background check with your authorization.
Information collected automatically
When you visit the site, our web host records standard server log data, including your IP address, browser type, device type, the pages you view, and the date and time of your visit. We use this to keep the site working and to understand roughly how it is being used.
Our site uses Google Analytics to see which pages people visit and how they arrive. It sets cookies or similar identifiers in your browser. You can block or delete cookies in your browser settings, or use Google's opt-out tools; the site will still work.
We do not respond to browser "Do Not Track" signals, because there is no common standard for how to interpret them.
How we use your information
- To prepare and send you a quote, and to answer questions you send us.
- To schedule, staff, perform, and follow up on cleaning visits.
- To get into your home when you have asked us to clean while you are away.
- To invoice you and collect payment.
- To contact you about a booking, a change to a booking, or a problem that comes up.
- To keep records of work performed, including for insurance and dispute purposes.
- To hire and screen cleaners, where you have applied to work with us.
- To comply with tax, accounting, and other legal obligations.
We do not sell your personal information, and we do not share it with third parties for their own advertising.
Calls and text messages
When you give us your phone number, you agree that we may contact you by phone call or text message about your quote, your scheduled visits, arrival times, and questions about service. Message frequency varies. Message and data rates may apply depending on your carrier plan.
You can stop service text messages at any time by replying STOP to any message from us, or by telling us in writing. Reply HELP for help. Opting out of text messages does not cancel your service, and we may still contact you by phone or email about a scheduled visit. Consent to receive texts is not a condition of buying anything from us.
Who we share information with
We share personal information only in these situations:
- Our cleaners. The people assigned to your home receive your address, access instructions, the scope of work, and any notes relevant to the visit. They are bound by our confidentiality policy.
- Service providers. Companies that run parts of our operation on our behalf, such as our website host, form and email providers, scheduling software, payment processor, and accountant. They may only use the information to provide their service to us.
- Background check providers. For job applicants, and only with the applicant's written authorization as required by law.
- Insurers and legal advisors. If there is a claim, an incident, or a dispute involving your property or a visit.
- Legal requirements. If we are required to by law, subpoena, or court order, or where we believe in good faith that disclosure is necessary to protect someone's safety or to investigate suspected fraud or a crime.
- Business transfer. If Haven is sold or merges with another business, customer records may transfer as part of that transaction. We will note any change of ownership here.
How long we keep it
We keep customer records for as long as you are an active client and afterward for as long as we need them for tax, accounting, insurance, and legal purposes, generally at least four years from your last visit. Home access codes and keys are kept only while you are an active client. When you tell us you are done with service, we remove access codes from our records and return or destroy any key we hold. Job applications from candidates we do not hire are kept for one year.
How we protect it
We limit who can see customer information to the people who need it to do their jobs. Access codes and keys are handled under a written internal policy, keys are tagged by code rather than by address, and accounts are protected with strong passwords and multi-factor authentication where available. No system is perfectly secure, and we cannot guarantee that information will never be accessed without authorization, but we take these steps seriously and will notify you promptly if a breach affects your personal information.
Your choices and rights
Regardless of where you live, you can ask us to:
- Tell you what personal information we hold about you.
- Correct information that is wrong or out of date.
- Delete information we no longer need to keep for legal, tax, or insurance reasons.
- Stop sending you marketing messages. Every marketing email includes an unsubscribe link, and you can reply STOP to texts.
Email us at info@cleanwithhaven.com and we will respond within 30 days. We may need to verify your identity before acting on a request, and we will not treat you differently for making one.
Residents of states with comprehensive privacy laws, including California, Colorado, Connecticut, Virginia and others, may have additional rights, including the right to know the categories of information collected and disclosed and the right to opt out of certain sharing. We do not sell personal information or share it for cross-context behavioral advertising. Use the same email address above to exercise any of these rights.
Children
Our website and services are meant for adults. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us information, contact us and we will delete it.
Other websites
Our site may link to other websites, such as a payment page or a review platform. We are not responsible for their privacy practices, and this policy does not cover them.
Changes to this policy
If we change this policy we will post the updated version here and change the date at the top. If the change is significant, we will let active clients know by email. Continuing to use the site or our services after an update means you accept the revised policy.
